Using Clubhouse 360

Everything your staff and members need to get up and running.

Getting started

Sign in at /app with the credentials your Super Admin provided. Once logged in, use the club switcher in the top-right corner to select the club you want to work in.

  • Sign in at /app with the credentials your Super Admin sent you.
  • Pick the club you want to work in from the top-right club switcher.
  • Roles you may see: Super Admin, Admin, Bar Staff, Inventory Manager. Each role controls which tabs and actions are visible to you.

Point of Sale (POS)

The POS tab is your main checkout screen. Tap or search for products to add them to the cart, then choose how the customer is paying.

  • Open the POS tab. Tap products to add to the cart, or search by name, category, or barcode/SKU.
  • Choose payment: Cash, Card swipe, or Pre-Fund (member PIN).
  • For cash payments, you can optionally tick "Add change to member's pre-fund balance" to credit the difference.
  • To reverse a Pre-Fund charge, tap the reversal button on the receipt screen within 15 seconds of completing the transaction.

Pre-Fund / Member Tabs

Pre-Fund lets members pay from a loaded balance using a 5-digit PIN — no card needed at the counter.

  • In the POS, tap Load Pre-Fund / Tab to reveal the member search input.
  • Search by name or Member ID (e.g. M-00042); the member's balance and tier are shown before you confirm.
  • Add items to the cart as normal. The member enters their 5-digit PIN on the terminal to confirm the charge.
  • PIN entry locks for 60 seconds after 3 consecutive wrong attempts to protect against guessing.

Inventory management

Use the Inventory tab to track stock levels, costs, and movements with a full audit trail.

  • Add items with name, category, sale price, cost price, reorder level, and optional SKU/barcode.
  • Restock creates a new FIFO batch — sales always deduct from the oldest batch first, keeping costing accurate.
  • Adjust lets you record Damage, Correction, or Return movements without losing the audit trail.
  • Low-stock items appear at the top of the list with a red badge when stock falls to or below the reorder level.

Member management

Admins manage the club roster from the Members tab. The search is instant — results appear from the second letter typed.

  • Search by name, email, or Member ID for instant results.
  • Invite a member to send a secure one-time setup link. The raw token is emailed and never stored server-side.
  • A newly invited member goes through a three-step approval before their status changes from Pending to Active.
  • Edit tier, status, and contact details at any time. Deletions require confirmation to prevent accidents.

Leaderboard & golf scores

Track round scores and display a live leaderboard for your club's members.

  • Open the Leaderboard tab to enter or view scores.
  • Pick a member, enter their score, and set the date played.
  • Members can see their own scores and rankings in the Member Portal at /member.

Reports & billing

The Reports tab gives you a financial summary of your club's activity.

  • View revenue, top sellers, inventory value, and member billing logs at a glance.
  • Monthly billing runs automatically for all active members on their current tier.
  • Tenant invoices for your club's own Clubhouse 360 subscription are visible in the Super Admin dashboard.

Member Portal (for your members)

Members have their own self-service portal at /member where they can manage their account independently.

  • Members log in at /member with the credentials they set during their invitation setup.
  • From the portal, members can view their pre-fund balance, top up (if enabled by the club), and review transaction history.
  • Members can set or reset their 5-digit Pre-Fund PIN directly from the portal.

Admin tools

Super Admins have access to global controls that govern what each club can see and do.

  • Feature flags: toggle Members, Member Portal, Pre-Fund, Leaderboard, Billing, and Reports on or off — globally or per-club.
  • Per-club feature flags override the global defaults, so you can roll out features gradually.
  • Club suspension (with a reason) is fully reversible from the Super Admin dashboard.
